Are you detail-oriented, compassionate, and eager to be a key part of a growing specialty healthcare team? Chicago Pelvic Health is seeking a Patient Care Coordinator / Front Desk Associate to be the welcoming face of our clinic. This role goes beyond a traditional front desk position—we’re looking for someone who is organized, meticulous, and passionate about delivering an exceptional patient experience.
About the Position
This is a full-time, in-person role with competitive compensation based on experience and performance. You’ll work closely with our clinical team to keep operations running smoothly, ensuring patients feel cared for from the moment they walk in.
Schedule:
Monday–Thursday: 8 AM – 6 PM
Friday: 8 AM – 1 PM
Responsibilities
Patient Experience
Warmly greet patients, manage check-in/check-out, and create a welcoming environment.
Answer phones and emails promptly, providing clear and knowledgeable explanations about pelvic physical therapy.
Handle patient paperwork with precision and confidentiality.
Administrative Support
Oversee appointment scheduling, fill cancellations, and confirm follow-ups.
Perform administrative duties that fully support clinical staff and clinic leadership in daily operations.
Assist with payment processing and other front office functions.
Clinic Operations
Maintain overall clinic appearance and cleanliness, including front desk, lobby, and treatment areas.
Assist with light clinic upkeep, including stocking supplies and changing linens.
Marketing & Outreach
Directly support marketing initiatives and community engagement.
Assist with social media content and posting.
Attend community outreach events as a representative of the clinic.

Qualifications
Customer Service & Communication
1+ year of experience in a customer service role (healthcare front desk preferred).
Strong interpersonal skills with a professional, compassionate, and welcoming demeanor.
Clear and courteous communication skills (in person, over the phone, and via email).
Technical & Administrative Skills
Proficiency in Google Docs, scheduling systems, and general computer skills.
Experience handling payments, email communications, and a multi-line phone system.
Strong organizational skills with a high level of attention to detail and accuracy.
Growth & Learning
Ability to learn and retain medical information related to pelvic floor physical therapy.
High school diploma required; AA or bachelor’s degree preferred.
Eagerness to support clinical staff, leadership, and the overall growth of the clinic.
Bonus Skills (Preferred, Not Required)
Social media management (Instagram, Facebook, TikTok).
Canva or similar design platform experience.
Previous marketing or community outreach involvement.

What You’ll Do
As a Team Member at Tommy’s Express, you’ll rotate through key roles to keep the wash running smoothly and our guests smiling. You’ll be trained to:
-Welcome guests with a warm, friendly attitude and go the extra mile to exceed expectations
